Board of Directors Meeting

 9:02       Called to order by Julie

 

9:10        Approve Minutes from May in-person meeting and July ZOOM

Motion made by Mari, 2nd by Danny – all in favor of approving May & June minutes.

 

9:15        Treasurers Report

Assessments to date – 10 wineries paid in full, 2 paid for 2 years, 1 lodging paid

As of today: Checking $5,736.85           Savings $87,416.43        CD $52,000

Beth to transfer another $10,000 from savings to checking to cover payroll tomorrow.

As assessments roll in, Beth will transfer funds back to savings, with goal of $100,000.

 

9:25        Wine Trails

Summer Wine Trail: Signs, Posters, Sales, Social – mailed posters and signs, sold 61 as of today, tickets open through Saturday. We need to find a way to REACH MORE people!

 

Harvest Wine Trail – requirements for wineries – EDUCATION of some sort. Promote as Before Barrel Tasting, we have HARVEST, the beginning. We will require wineries to offer some sort of fun, harvest learning opportunity. Wine Road to provide a few ideas to get them thinking: Show a variety of grape leaves, label them.  Offer GRAPE JUICE to sample – direct from the tank Sauvignon Blanc for example.  Pick some grapes for guests to try/taste.  Get a refractometer from the lab and show guests how to measure sugar.  Take it from there – and add that information to the program. Wineries could make it a contest (name that leaf) and give prizes, etc.

We are bartering for all printed material at this point, so we can provide signs, posters for these small events and just mail them out in advance.

Going forward, Beth will send postcards and sign with a QR code to all of our lodgings, and encourage them to talk to their guests about these events. Add to their calendar or websites if possible and maybe even include the link or QR code in their confirmation emails when customers book.  Beth will have all of this in the hands of members 4 weeks prior to the events.

 

9:35        Wine & Food Affair

Artwork is done, simple, more of a sign/logo. Sign-up has started; we plan to launch tickets Aug. 28th.  We included a specific requirement for sharing on social, their email newsletters etc.  It is on the sign-up page and Debbie will send weekly reminders.

 

9:45        Manhattan Beach Wine Festival

Create WR Board Suggested itineraries – print cards. Beth to send details to each Board member. We will hand out cards:  Beth from the Wine Road suggests….these 4 wineries, a lunch spot, dinner and close by hotels.  Mari from Dry Creek Vineyard suggests….   ETC.

 

9:55        Sip into the Weekend

We have 30 wineries on board for FREE wine tasting, 5 offering 2 for 1 tasting, 13 lodgings and 2 restaurants. Promotion starts next week and runs through Aug. 29.  Mysty will get a press release out, Beth will post to our website and share info with all of our lodgings and with the participating wineries.

 

10:10     Wine Roads turns 50

What are the plans? How do we celebrate? When do we start?

Logo on all glassware for 2026 – yes, we will use the logo as much as possible throughout 2026, glasses, on our website, in ads if possible.

Working on plan to create a Party/Wine Tasting on the Friday Night of Wine & Food Affair 2026. November 6, 2026.  We can include this in a premium ticket, along with the weekend event, we can also have stand-alone tickets.

August meeting we need to fine-tune idea. Is there wine tasting tables, is there tasty bites or dinner, live music, silent and or live auction.

Beth to have Liz Pembroke start working on an Icon/Seal/Logo for our 50th and we can vote on design at the August meeting.

 

10:20     FYI ~ Membership – Carlisle, Jeff Cohn, Stephen & Walker – all closing

Janae has been working on Kendall-Jackson, LaCrema & Hartford Family as a group. Also Chateau Diana,  who just dropped out last year as well as Inman Family and Martinelli.  Beth will reach out to Foley Family and try to get the whole group back, including Hotel Les Mars.

 

10:25     Map project – QR codes, map holders, signs. Beth to have printed this week. Next week Debbie and Beth can begin making deliveries, see who will let us place the map holders. Then every couple of weeks we can see who needs more, maybe find additional placements.

Map holders have a sign inside, with a QR code for when the maps are gone, so guests can scan to our online Google Member Map.  If no map holder can be placed, we will try to have just the sign posted and it also has the QR code.
